Set up registers and review shifts
Add a register for each till that needs its own shift under Finance → Registers, and review and approve count differences under Finance → Cashier shifts.
A register in Sahab is the till a cashier opens a shift on and counts at closing. Under Finance → Registers you add the shop's tills; under Finance → Cashier shifts you review each shift and approve the count difference when the cash doesn't match what was expected.
Before you start
- Owners and managers add registers and review shifts. Anyone with the Review drawer differences permission approves differences, including anyone given the Accountant template: they open Cashier shifts and approve the difference, but don't open or close a shift.
- A shop that sells from one till doesn't need to add any register: its shift stays on the cash account. Add registers when a second till needs its own shift.
- Each register needs a cash, bank or wallet account for its money to land in.
Add a register
- Open Finance → Registers and press New register.
- Type the Name, such as Front till.
- Enter a Code if you want a short code in lists and reports.
- Pick the Settlement account: the account this till's money lands in.
- Pick the Default selling location, or leave it so the till sells from the company's default location.
- Tick Default register if the point of sale should pick it automatically.
- Leave Active ticked, then press Save.
Two registers may share one account; each one's expected cash counts only the movements of its own shift. A register's account can't change while it has an open shift.
To stop using a register, close its open shift first, then press Deactivate in its row. Its past shifts stay as they are.
Review shifts
- Open Finance → Cashier shifts. The list shows each shift: when it opened, the register, who holds custody, the opening float, the count at closing and the difference.
- Choose Awaiting review to see shifts whose difference isn't approved yet, or All shifts to see every shift.
- Open a shift and read the Shift report: Expected in drawer, Counted and Variance, and where the expected amount came from.
If the company uses Blind close, which is on by default, the cashier doesn't see the expected amount when closing. Anyone with the See drawer differences permission, such as a manager, sees the expected amount and the difference in the report.
Approve a count difference
- On the shift, scroll down to Variance review.
- Write the Reason. It's required.
- If you like, flag the difference to the cashier for payroll. Nothing is deducted from their pay by doing this.
- Press Approve variance. Sahab posts the overage or shortage to the books.
Whoever received or closed the drawer doesn't approve its difference while someone else can review it; if nobody else can, they approve it, and that is kept in the record. The next shift on the register can open without waiting for the review.
Note: The shift shows a Tolerance. A difference within it shows as Within tolerance and needs no review. The owner sets it in Configuration Studio → How we close cash → Variance tolerance (amount); it starts at zero, which means every difference is reviewed.
If the cash counted when a shift opens differs from the count at the previous shift's close, an Opening variance appears, and it is reviewed and approved the same way.
Tip: In the reason, write what you actually found, such as change that was never given back to the shopper. Whoever checks the books later reads it.
