Sell from the desk and manage receipts
From Cash sales you record a sale without opening the till, review today's and earlier receipts, and collect the balance on any receipt or void it.
Cash sales lists every sales receipt, from the till and from the desk. From here you record a sale without opening the Point of sale, and open any receipt to print it, collect what's left on it, or void it.
Before you start
- Cash sales shows in the sidebar when the company picks Show Cash sales under Configuration Studio → How we sell. That's the default.
- Opening the list needs the View sales permission; selling from the desk needs Create and settle sales. Owner and Manager have both.
- Cashiers sell from the till and don't see this list unless they're given View sales.
The sales list
The list opens on Today, in the company's time zone. Pick Last 7 days, Last 30 days or All time. To find one receipt, type its number or the customer's name in Search reference or customer.
Above the list are four totals: Count, Total, Discount and Tax. A voided or fully returned receipt stays in the list with a Voided or Fully returned badge, but it isn't counted in the totals. The Balance due column shows what the customer still owes on account.
Record a sale from the desk
- Go to Sales → Cash sales and press New sale.
- Pick the Customer, or leave it as Walk-in. If the customer isn't on file yet, press New customer.
- If Selling from shows, pick the location the goods leave from.
- Press Add line, pick the item and enter the Quantity. The item's price fills Unit price; a line discount goes in Discount.
- To pay from the customer's credit or with a voucher, open Customer credit and vouchers first. Then pick the Tender; if Settlement account shows, pick the account the money goes into.
- Amount paid now starts at the receipt total. Enter less to leave the rest on account for the customer.
- For cash, enter what you received in Amount tendered.
- Add a Sale discount or Notes if needed, then press Post sale.
When you post, the goods leave the location and the money goes into the account you picked; the receipt page then opens. If the company allows later delivery, a Deliver later option shows under the line quantity.
Note: On account needs a customer on file and a company that allows selling on account. If the sale goes over the customer's credit limit, the Credit approval window opens.
The receipt page
Press the receipt number or View on its row. At the top are Print and Download PDF.
If something is still owed on the receipt, a Receive payment card shows:
- Pick the Tender. On account isn't offered here.
- Enter the Amount, or press Full balance.
- Press Record payment.
Anyone who sells from the desk or the till can collect the payment.
Void a sale or take items back
Record return and Void sale show for people with Correct posted sales.
- Void sale puts the goods back in stock and cancels its effect on the money and the accounts. Fill in Reason for the void before you confirm.
- A sale can't be voided once a payment was collected on it or a return was recorded, and an exchange receipt can't be voided; record a return instead.
- If the company requires a second person to approve, the button reads Send void for approval, and nothing is reversed until the request is approved.
- Record return works while the Return window is open. After it ends, or for people without the correction permission, Return shows instead and takes you to the returns screen.
Tip: Got a quantity or price wrong after posting? If Correct shows at the top of the receipt, use it: Sahab reverses the wrong receipt and issues a linked replacement.
What's next
- Take returns and exchanges — how you take goods back from the customer and refund their value.
- Follow and collect customer receivables — what all customers owe on account, and collecting it with a receipt.
- Hand over pending deliveries — what was sold but the customer hasn't collected yet.
