Add customers and set their credit limits

Register a customer once to sell to them on account or in installments, then set on their page the most they may owe, or put them on credit hold.

Who this is for: Installments clerk Cashier Manager Owner

A customer on file in Sahab is someone you sell to on account or in installments, or whose purchases you want to keep under their name. You add them once from Sales → Customers, then set their Credit limit on their page.

Before you start

  • Adding and editing customers needs the Manage customers permission. Owner, Manager, Cashier and Installments clerk have it.
  • Changing a customer's credit limit or putting them on credit hold is for the owner and the manager.
  • Cashiers can also add a customer from the till with New customer, without leaving the sale.

Add a customer

  1. Go to Sales → Customers and press New customer.
  2. Enter Name, Mobile and Address. These are required.
  3. Add what you know of National ID, Date of birth, Gender and Customer email. The email helps when you send them their statement.
  4. Press Add customer.

Sahab won't accept a mobile number or national ID that's already on file for another customer. If that happens, search for the customer in Search name, mobile, or national ID and open their record instead of adding a new one.

The customer page

At the top: Edit for their details, Customer statement for people with the reports permission, then New installment transaction and New sale to start a transaction or a sale in their name straight away.

Below are their balances, including Open balance and Customer credit. Customer credit is value the company holds for them, from a return for example; it isn't debt they owe. The tabs are Installment transactions, Cash sales, Open on-account, Payments, Customer credit and Notes.

The Credit panel

The panel brings together what the customer owes:

  • Credit limit: the most they may owe, on account and in installment transactions together.
  • Credit exposure: the open on-account balance plus Installment transactions outstanding and cheques not yet cleared.
  • Available credit: the limit minus what they owe.
  • Overdue and Grace days: what's past due, and how many days the company waits before counting it late.

Change the limit or put a customer on hold

  1. On the Credit panel, press Edit credit.
  2. Enter the Credit limit. Leave it empty to follow the company setting.
  3. If the customer needs their own grace period, enter Overdue grace days for this customer.
  4. To stop their credit, tick Put this customer on credit hold and fill in Why (optional).
  5. Press Save credit settings.

A customer on hold can't buy on account or open a new installment transaction until a manager lifts the hold. If a sale goes over the limit, the Credit approval window opens instead of completing the sale.

Note: A customer without their own limit follows Customers without their own limit under Configuration Studio → Selling on account. By default they can't buy on account without approval until a limit is set. Selling on account itself is off in a new company until the owner turns it on in the same place.

Note: What cashiers see of these figures is set by What cashiers see about a customer's credit. The owner and the manager always see the figures.

Deactivate a customer you no longer deal with

In the Customers list, press Deactivate on the customer's row. They show as Inactive, and their transactions and balances stay as they are. This is different from the credit hold on the Credit panel.
