Customer receivables puts what customers owe on account and in installments in one table, grouped by days overdue. You'll find it under Sales → Customer receivables. From it you see who to call today, open their statement, and record what they pay with a receipt.

Before you start

  • Opening the page needs the View reports permission, which Owner, Manager and the Accountant template have.
  • New receipt shows for people who sell from the desk or the till, or who manage installment transactions.
  • The Check against the general ledger section shows for people with View accounting.

Read the Receivables aging

The top of the table totals each band, from Not yet due to Over 90 days. An on-account balance falls due after the Days to pay an on-account balance the company set in the Configuration Studio, counted from the sale date; an installment falls due on its date.

Each customer has a row with On account, Installment dues, the amounts by age, then Total. An Advance payments column shows when any customer has money that hasn't been applied yet. If the company has branches, pick a Branch to see one branch's receivables. To download the table, press Export CSV.

Record a customer receipt

When a customer pays part of what they owe, record it with a receipt. Sahab spreads it across their on-account sales and installments together.

  1. Press New receipt at the top of the page or on the customer's row.
  2. Pick the Customer if they aren't already picked. Their Open items show.
  3. Enter the Amount received.
  4. Pick the Payment method and Received into. For cash, enter Cash handed over so Sahab works out the change.
  5. Sahab applies the amount to the oldest due first. Change the Apply amount on any item if you want, or press Suggest (oldest due first) to go back to the suggestion.
  6. Press Save receipt.

Whatever isn't applied to an item is Held as advance payment for the customer; it can be applied to their dues later or refunded to them. A receipt can't be taken on account, or paid with customer credit or a voucher.

Note: On the receipt page you'll find Change allocation, Refund advance payment and Reverse receipt. Each button shows for people with its permission. Reversing makes the sales and installments due again and can't be undone.

Customer statement

Press Statement on the customer's row to open the Customer statement. It lists everything that fell due under Charged, everything paid or reduced under Paid / reduced, and the Balance after each line. Pick the period, then Print or Download PDF, or press Email statement to send it as an attached file.

Advance payments and write-offs

  • Press Advance payments at the top of the page to see money the company received and hasn't applied yet. It's owed by the company until it's applied or refunded.
  • Press Customer receipts to see every receipt recorded.
  • Write off shows on a customer's row for the owner and the manager when the customer has an on-account balance. Pick the balance that won't be collected and write the reason. You can undo it later under Write-offs with Undo.

Tip: If Check against the general ledger shows Difference found instead of Matched, look at the documents that aren't posted yet before you hunt for a mistake in the figures.
