Approve credit overrides and use the approvals inbox

When an on-account sale or an installment transaction goes over the customer's credit limit, a manager approves it on the same screen or from Credit approvals; the Approvals inbox gathers every request waiting for your decision.

Who this is for: Manager Owner
Last reviewed:

If an on-account sale or an installment transaction would leave a customer owing more than their credit limit, or the customer is overdue or has no limit, Sahab stops and asks for approval. A manager approves on the same screen, or the request goes to Credit approvals. Everything else waiting for your decision is in the Approvals inbox.

Before you start

  • Owner and Manager approve credit overrides, and Credit approvals shows for them in the Sales section.
  • The Approvals inbox shows for anyone who can decide at least one kind of request, or who has a workflow decision waiting.
  • The on-account rules live in Configuration Studio → Selling on account: when a sale needs approval, and what happens when a customer is late.

When the Credit approval window opens

The window opens at the till, on desk sales, on installment transactions, and when handing over goods that aren't paid for. The cashier has three choices (on a sale):

  • Collect more now, so the sale stays within the limit.
  • Ask a manager to enter Manager email and Manager password, write the reason in Why is this credit allowed?, then press Approve and complete.
  • Press Send to approval queue and hold the cart. Once it's approved, finish the sale from the same screen.

On an installment transaction or a delivery there are only two: a manager approves on the screen, or the request goes to the approval queue. If you hold the permission yourself, you approve without an email or password, and your name is recorded with the reason.

Decide a request from the queue

  1. Go to Sales → Credit approvals. Requests that are Waiting show.
  2. On the request's row, check the Customer, For, Amount, the customer's figures At request, and Reason / note.
  3. If the approval should stay valid for some days, change the Valid until end of date.
  4. Add a Note (optional) if you need one.
  5. Press Approve or Reject.

Nobody approves a request they sent themselves: You sent this request — another manager must decide it. Whoever sent the request can withdraw it with Cancel request. An approval is used once, then shows as Used, or Expired if its date passes. Press All to see every request, including decided ones.

Note: If the company runs these requests through a workflow, the window's button reads Send for approval, and the request row shows Decide in the approvals inbox instead of the approve buttons.

The approvals inbox

Go to Sales → Approvals inbox. The Waiting for me tab has two parts:

  • Requests waiting for your decision: requests you can decide now, grouped by kind, such as Expenses waiting for approval, Drawer variances and Corrections and voids of posted documents. Press Open request to decide it on its own page.
  • Workflow steps: steps waiting for your approval. Write the Reason, then press Approve or Reject. A reason is required to reject, and Timeline shows what the request has been through.

The Decided by me tab gathers what you've already decided. People who manage workflows also see Needs attention for stuck requests, and can withdraw one with Cancel request after filling in Why cancel?.

Tip: The sidebar shows a count next to Approvals inbox for what's waiting on you. Start your day there.
