Sell on account
Sell to a customer on file who pays part of the receipt now, or nothing, and owes the rest until they pay it off.
When you sell on account, the customer takes the goods and owes all or part of the price. The amount shows under Customer receivables against the customer until it is collected.
Before you start
- The owner sets selling on account in Configuration Studio → Selling on account. It starts off, except in a company that chose installment selling during setup, where it starts on Manager approval every time. To turn it on, choose Allow within the customer's limit or Manager approval every time.
- Once it is on, On account appears among the tenders. If it does not, check that it is ticked in How we take payment → Enabled payment methods.
- Only a customer on file can buy on account; a Walk-in cannot.
- The Credit limit is set on the customer's page. If it is left empty, the company setting applies, and that may mean every on-account sale needs a manager's approval.
The whole receipt on account
- Choose the customer above the cart. Their on-account status shows next to them, unless the company hides it from cashiers. If the company chose to show amounts, what is available and what they owe show with it. Managers and the owner always see the amounts.
- Add the items and press Continue to payment.
- Choose On account from the tenders. The Amount paid now field disappears, because the customer pays nothing now.
- Press Complete sale. The whole receipt is recorded against the customer.
Part now, the rest on account
- Choose the customer, then press Continue to payment.
- Choose the tender for what they pay now, Cash for example.
- Change Amount paid now to what the customer paid. Remainder on account appears below with the rest.
- Press Complete sale.
If you forget the customer, you see Remainder is on account. Select a customer above, then complete the sale. If selling on account is off for the company, Sahab asks you to collect the full amount.
When the customer goes over the limit
If the sale would leave the customer owing more than their Credit limit, or the company asks for approval every time, the Credit approval window opens. You have three ways forward:
- Press Back and collect more now.
- Get a manager's approval on screen: fill in Why is this credit allowed?, the manager enters their email and password in Manager email and Manager password, then press Approve and complete.
- Press Send to approval queue, then keep the sale with New order or leave the screen open. Once it is approved in Credit approvals, complete the sale from the same screen.
Sending also needs a reason. If the company uses an approval workflow, there is no approval on screen: the request only goes to the workflow, with Send for approval.
Someone who may approve credit approves it themselves, and their name is recorded with the reason. A customer shown as On credit hold cannot buy on account until a manager lifts the hold on their page.
Note: A sale fully on account puts no cash in the drawer, so it completes even without an open shift.
Collect later
When the customer comes back to pay, select them at the till, press Customer account, then Receive payment. Payments can also be taken from Sales → Customer receivables.
What's next
- Follow and collect customer receivables — what each customer owes and how it is collected.
- Add customers and set their credit limits — setting each customer's limit.
- Approve credit overrides and use the approvals inbox — how the manager decides on requests.
