Take returns and exchanges

Find the original receipt, enter how many of each item come back, then choose how the customer gets the value back: on their original payment, in cash, as credit, as a voucher or as other items.

Who this is for: Cashier Manager Owner
Last reviewed:

When a customer brings goods back, find the original receipt on the returns screen. Sahab shows only what is still returnable on that receipt, and gives the value back in the ways your company allows.

Before you start

  • Returns need the Process returns permission, which Cashier, Manager and Owner have.
  • The return rules live in Configuration Studio → How we return, including Return window (days) and How a return’s value goes back to the customer. By default there's no time limit, and the value goes back only on the original payment.
  • At the till, Return doesn't work while the cart has items: finish or hold the current sale first.

Return items from a receipt

  1. Go to Sales → Returns, or press Return at the till.
  2. Under Find the receipt, pick how to search: Receipt number, Scan receipt barcode or Customer phone, depending on what the company turned on.
  3. Type the number or scan the barcode, then press Find.
  4. Under Matching receipts, press Return items on the right receipt.
  5. In Return, enter how many of each item the customer brings back. Sahab won't accept more than Returnable.
  6. If an item is damaged, switch Goods go to from Sellable stock to Damaged stock.
  7. Note why it came back in Reason (optional).
  8. Under How the customer gets the value back, pick the method.
  9. Check the amount at the bottom of the screen, then press Record return.

The goods go back into stock and the return page opens. Press Print to hand the customer the return slip.

Note: Finding a receipt by Customer phone doesn't prove the purchase on its own. Check the items and the purchase date with the customer before you accept the return.

How the value goes back

Sahab works out the value from the receipt's prices, discounts and tax. If part of the receipt is still owed on account, that is reduced first. Anything paid with customer credit or a voucher goes back there before any cash. The rest goes back the way you choose:

  • Refund to the original payment: cash comes out of the drawer, a card payment is refunded from the card account.
  • Cash refund from the drawer: cash instead of the original payment; it needs Supervisor approval.
  • Customer credit: added to a registered customer's credit for a later purchase.
  • Voucher: a printed code that whoever holds it can use. Press Print voucher and hand it to the customer.

Under Supervisor approval, the supervisor enters Supervisor email and Supervisor password on the same screen. If you hold the permission, you approve it yourself.

Exchanges

If the company allows exchanges, Exchange items shows next to Record return at the top of the return screen. An exchange also needs permission to sell at the till.

  1. Press Exchange items and enter the returned quantities as above.
  2. Under New items, press Add item and pick what the customer takes instead.
  3. If Customer pays the difference shows, pick the method in Pay the difference with. If Customer gets back shows, pick the method in Give the rest back as.
  4. Press Record exchange.

Sahab records the return and a new receipt for the new items together, at today's selling price.

After the return window ends

If The return window for this receipt has ended shows, the return is accepted only with an override that an authorized person approves. Write the reason in Why accept it anyway?, then the supervisor approves under Supervisor approval, or you approve it yourself if you hold the override permission.

Returns without a receipt

If the company allows them, press Return without a receipt on the returns screen. Add the items, write the reason and pick the Refund method. It's recorded as unverified and needs Supervisor approval unless it's within the amount the company exempts from approval.
