Salespeople and sales specialists

Each line of a sale counts for a salesperson: whoever the cashier picked, or the branch sales specialist for the item, and a manager can change it after the sale with a reason.

Who this is for: Manager Owner

The salesperson is who a sale counts for, and may not be the cashier who took the money. Sahab records a salesperson for each line of a sale, and that record feeds the Sales by salesperson report and incentives.

Before you start

  • The owner decides under Configuration Studio → Salesperson on a sale whether the till asks who sold: Off, Ask, not required or Required. Unless it's changed it stays Off: the cashier isn't asked, and a line still counts for its sales specialist if there is one.
  • People with Change who made a sale change the salesperson after a sale, and people with Manage salespeople set up specialists. The owner and the manager have both by default.

Pick the salesperson at the sale

If the company asks for a salesperson, a Salesperson panel appears at the till, on desk sales and on a new installment transaction.

  1. In the panel, choose the employee who made the sale. If your name is preselected but a colleague made the sale, choose the colleague.
  2. If the company allows Split a sale between salespeople, add a second colleague with Add salesperson, then adjust each Share % or press Split evenly. The shares add up to 100%.
  3. If the company allows Different salesperson per line, press the button with that name and choose a salesperson for each line. A line you leave alone follows the Receipt salesperson.
  4. Complete the sale as usual. With Required, the sale can't be completed until every line has a salesperson.

Sahab decides who each line counts for in this order:

  • The salesperson you picked for that line.
  • The Item specialist, then the Category specialist, in the sale's branch.
  • The Receipt salesperson.
  • The cashier who completed the sale, if the company asks for a salesperson and chose The signed-in cashier (recommended) under When nobody is picked, which is the default.
  • Otherwise the line stays under No salesperson until a manager assigns it.

Set up a branch sales specialist

A specialist is an employee who gets every sale of an item or category in a branch between two dates. Open Branch sales specialists with the Specialists button on the Sales by salesperson report.

  1. Press Add specialist.
  2. Choose the Branch if the company has more than one, then choose the Employee.
  3. Under Covers, choose An item or A category, then choose the Item or Category.
  4. Enter From and Until. Leave Until empty if the assignment has no end.
  5. Add a Note if you need one, then press Save.

The assignment shows as Active, Starts later or Ended. An item or category has one specialist per branch on any day, so Sahab refuses an assignment whose days overlap an existing one. To stop one, press End in its row, choose the Last day, then press End. Past sales stay with their specialist. To see old assignments, press Show ended.

Change the salesperson after a sale

  1. Open the sale from Sales → Cash sales, or the installment transaction from Installments → Installment transactions and its Parties tab.
  2. In the Salesperson panel, press Change salesperson, or Assign salesperson if the sale has none.
  3. If the sale has more than one line, choose The whole sale or One line under Apply to, then choose the line.
  4. Choose the new salesperson and type the Reason.
  5. Press Save change.

The line's net moves to the new salesperson from the day of the change, and figures for earlier days stay as they were. Each change shows under Changes with its reason and who made it.

The Salesperson panel doesn't show on a sale recorded before Sahab started tracking salespeople. It doesn't show either on a sale with no recorded salesperson while the setting is Off.

Note: The owner sets Who may change the salesperson after a sale: Managers, the default, The owner only or Nobody. A line with no salesperson can always be assigned, but a voided or fully returned sale keeps its salesperson.
