Reverse a collection or cancel a transaction
Undo a wrong collection with Reverse collection, fix a transaction's details with Correct transaction, close what's left with End transaction (waive the rest), and cancel a transaction that shouldn't exist with Cancel entire transaction.
When something wrong was recorded on an installment transaction, each kind of mistake has its own action on the transaction's page. Pick the lightest action that fixes the mistake: reversing one collection doesn't call for cancelling the whole transaction.
Before you start
- Only the Owner and Manager can do these. The Installments clerk role creates transactions and collects, but can't reverse, correct, end or cancel.
- If your company requires a second person to approve corrections, the reversal or cancellation is sent for approval, and no money moves until it's approved.
Which action do you need?
- An amount recorded on a due by mistake: Reverse collection.
- A mistake in the customer, lines, prices or schedule: Correct transaction.
- The company agreed with the customer to close what's left: End transaction (waive the rest).
- A transaction that should never have been recorded, or the customer brought the goods back: Cancel entire transaction.
Reverse a collection
- Open the transaction, then the Collections tab.
- Press Reverse collection on the wrong payment's row. Only that collection is reversed; other collections on the due stay.
- To reverse everything collected on a due, press Reverse collection on its row in the Schedule tab.
- Write the Reason for the reversal, then press Reverse collection in the window.
- If the collection was by card and the payment provider has already paid it out to the company, a Refund goes back to the card window appears. Read it and press Confirm refund to card.
The money leaves the account it went into, and the due opens for collection again. On an ended transaction the due doesn't reopen; it's waived with the transaction's other dues. If the button reads Send reversal for approval, the reversal waits for a second person to approve it.
Note: A collection that came through a customer receipt or a cheque can't be reversed here; reverse it from the receipt or the cheque itself.
Correct a transaction
Before correcting, reverse every collection after the down payment. Corrections are for active transactions created in Sahab, not transactions brought over from your previous system.
- Press Correct transaction. The Correct installment transaction page opens with the values copied in.
- Change only what was wrong.
- Write the Reason for correction.
- Press Cancel original and create replacement.
Sahab cancels the original and creates the replacement in one step, and links the two. If the replacement can't be created, the original stays active.
End a transaction
Press End transaction (waive the rest) and confirm. What's left on every open due is waived, whatever was collected stays counted, and the transaction becomes Ended.
You can't undo ending from this page. If a due has a cheque that hasn't cleared yet, Sahab refuses to end the transaction until the cheque is settled.
Cancel the entire transaction
- Press Cancel entire transaction.
- Read Money to give back: it lists each amount collected and the account it went into. Money in a cash account you hand back in cash; money in a bank account you transfer back.
- Write the Reason for the cancellation, then press Cancel entire transaction in the window. If your company requires a second person's approval, the button reads Send cancellation for approval.
Cancelling refunds the collections, waives what's unpaid, returns any stock that was taken out, and the transaction becomes Cancelled. If any collection was made by cheque, Sahab refuses to cancel until the cheque is settled.
On a transaction brought over from your previous system the window is different: dues paid before go-live stay paid, and under Goods taken back you add whatever the customer returned so it goes back into stock.
What's next
- Collect an installment — record the right collection after a reversal.
- Create an installment transaction — if you cancelled the transaction and need a new one.
- Adjustments and corrections — where a reversal or cancellation request waits for its approver.
