Organize categories and units

A category groups similar items for search and reports, and a unit sets how an item is counted or weighed; you manage both under Item categories and Units in Inventory.

Who this is for: Owner Manager

A category groups similar items, such as accessories or appliances, so filtering and reports are easier. A unit sets how an item is counted: by the piece, by the kilogram or by the meter. You find them under Inventory → Item categories and Inventory → Units.

Before you start

  • The owner and the manager manage categories and units, as does anyone whose role holds the Manage items permission.
  • A category is optional: an item can have none. Every item needs a unit.

Add a category

  1. Open Inventory → Item categories and press New category.
  2. Type the Title, and add a Description if you like.
  3. Press Save.

Two categories in one company can't share a title. If your company uses cost centers, the category's edit page also shows Default cost center for sales: the category's sales revenue posts to the center you choose, and the cashier is never asked.

Preset and custom units

Sahab gives every new company Preset units, such as pieces, kilograms, meters, boxes and cartons, shown in the interface language. You need a Custom unit only when nothing fits, such as a carton of 24 pieces.

  1. Open Inventory → Units and press New unit.
  2. Type the Code: a short English word that starts with a letter, such as carton24.
  3. Type the Arabic label and the English label as you want staff and receipts to show them.
  4. Turn on Allows decimal quantities for weight, length, area and volume, such as 1.5 kg. Leave it off for things counted in whole pieces.
  5. Press Save.

Note: If a unit doesn't allow decimals, Sahab refuses a quantity such as 1.5 of that item in sales, purchases and transfers, and asks for a whole number.

The code can't change after saving. You can edit the labels any time, even on preset units: clear one language to go back to Sahab's original label.

Add from the item form

You don't need to leave the item form when a category or unit is missing. Press the + button next to the Category field to open Add category, or next to the Unit field to open Add unit. Fill it in and press Save & select: it is saved and chosen for the item straight away.

Archive instead of delete

Categories and units are never deleted. When you stop using one, press Archive on its row:

  • It can't be chosen for new items.
  • Existing items keep their category or unit, so nothing changes in your past reports.

To bring it back, press Unarchive.

Tip: The list shows active categories and units only. Choose Archived in the status filter to see what you archived, then restore it from its row.
